Job Purpose: As a project administrator, you will be required to maintain the project plan, administer change requests, quality manage all project documentation and administer all other general project logistics

Job Responsibilities: 1. MAINTENANCE OF THE PROJECT PLAN 1.1 Receiving project plan from Project Manager. 1.2 Maintaining project plan - NB! Any changes to the project plan may only take place on the basis of an approved change request. 1.3 Drawing up reports, e.g., Weekly Project Status Report and report of overdue work. 1.4 Distributing status and progress report to the approved distribution list. 1.5 Ensure personnel within organisation that work on projects understand the PTPi's project planning methodology and/or development methodology. 1.6 Maintains master list of project resources (personnel / hardware / equipment) and coordinates resources between Project Managers. 1.7 Maintaining of Project's RAID Logs, including Risk, Issue, and Continuous Improvement Register 2. ADMINISTRATION OF CHANGE REQUESTS 2.1 Each team member has the template for a change request. 2.2 The team member sends the change request to the Project Administrator 2.3 Recording the change request in the Change Request Log. 2.4 Allocating a number to the request. 2.5 Arranging a meeting to discuss the request or add a permanent item to the agenda of the regular meetings for dealing with change requests. 2.5 Preparing the documentation for the meeting. 2.6 Updating the change request statement with the outcome of the meeting (e.g., approved, or first do an impact analysis). 2.7 Updating the Project Plan after the request has been approved. 3. QUALITY MANAGEMENT 3.1 Ensuring proper collation and storage of project documentation. 3.2 Maintaining manual and electronic copies of project files in accordance with the PTPi PMO Master Records Index and File Plan 3.3 Maintaining each project risk register. 3.4 Ensuring use of correct project documentation (templates). 3.5 Maintaining control of documents (annual reviews). 3.6 Ensures compliance with policies and guidelines. 3.7 Ensures completeness and quality of

Role Requirements: Project management fundamentals, basic MS Project skills, document management and employee administration through to personal time management, interpersonal and team skills, progress reporting and e-mail etiquette. Interact effectively with all levels of staff, stakeholders demonstrating interpersonal and diplomatic skills. Manage multiple tasks and re-prioritize work in response to urgent request. Proactive and resourceful in supporting of-Team/Directors/Clients/Sponsors in preparations for scheduled activities. Effectively update, maintain, monitor and control the Microsoft Project Online (POL) environment that hosts the 24.7 Platform. Understand the relationship between the components of the POL environment. Maintain the Enterprise Global and the Enterprise Resource Pool. Set up and manage user accounts and access. Configure and customize Microsoft® Project Professional and Project Web Access. Perform time and task management. Workflow and Project Detail Pages activities. Perform Project Site administration. Proven solid knowledge and experience with MS Office Suite (Excel, Word, PowerPoint, Outlook, Teams)
